Heart Gallery Logistical Coordinator
The Heart Gallery Logistical Coordinator is responsible for responding and engaging with potential adoptive families and community stakeholders in the DFW area, which is critical to the growth of the Heart Gallery program. The position requires collaboration with the Gladney marketing and adoption.com teams to ensure success, as well as collaboration with our community partner’s social media sites. The primary goal of this program is to locate potential adoptive families for the children living in foster care who are available for adoption across the entire region 3 area of Texas
Duties & Responsibilities:
Recruitment:
- Assist HG team with scheduling and organizing community recruitment events and information meetings about adoption.
- Conduct recruitment activities within region 3’s 19 counties. Network with State employees, other agencies and professional organizations.
- Assist families starting the adoption process through education of the needs of the children, and the type of agencies to work within the region.
- Maintain program status reports including a complete record of families inquiring on the Heart Galley website and children from the website that have found permanency.
- Maintain program status reports of families inquiring through WFAA.
- Remain informed of current applicable adoption policies and licensing standards.
- Conduct individual information meeting for inquiring families through webinar and face to face meetings. Prepare documents and power point presentations for information meeting.
- Assist in recruitment efforts by engaging with both SSCC’s in the region.
- Assist in designing social medical post, brochures and pamphlets, which reflect the goals of the Heart Gallery North Texas program.
- Use social media to notify, inform and recruit families through the Heart Gallery North Texas Program.
Heart Gallery Website:
- Update the website weekly with new child(ren)’s photos and narratives. Update site with new community partners, volunteers and events.
- Update site by removing placed child from the website. Check with state worker to ensure child has been placed before removing for site.
- Edit and upload photos of children for the website and order hard copy photos. Send photos to the correct SSCC after edited photo is prepared to be placed on TARE. Send a different photo from the HG photo.
- Respond to the inquiries from the HG website and send Texas unlicensed families to an information meeting, and home study ready families to the correct SSCC sponsoring the child.
- Document all pertinent information regarding number of inquiries and number of families signing up with Gladney from HG.
- Work with social media internal and external teams to inform the community of the Heart Gallery events and successes.
- Partner with marketing and adoption.com to design, order and distribute Heart Gallery print and media materials.
Community Engagement & Outreach
- Organize and schedule community events, including community awareness, WFAA filming, match events and recruitment events in all of region 3.
- Attend community events to recruit families, take photos of children when needed. Partner with Gladney photographer.
- Recruit and maintain records on volunteer photographers throughout the region
- Remain available to potential adoptive families as needed.
- Conduct outreach at every opportunity.
Other Duties & Customer Service:
- Attend Gladney’s monthly staff meeting.
- Attend community professional meetings when needed.
- Traveling to other regions for photos or events as needed.
- Assist with community child events as requested.
- Assist and coordinate the activities of the Heart Gallery North Texas program.
- Present a positive and visible image representing the Agency in a professional manner to the community and other professionals.
- Responsible to promote The Heart Gallery of North Texas and Gladney and its services to both internal and external clients in a positive manner.
- Assist in coordinating support services for adoptive and foster families within the community as needed.
- Other duties as assigned.
Minimum Requirements:
- 1 year of experience in a system support type role.
- Bachelor’s degree.
- Understand how trauma affects a child and the basic development stages of children.
- Ability to process, organize and present information in an accurate, clear manner.
- Ability to maintain absolute confidentiality.
- Ability to work independently and as part of a team.
- Ability to work in the office daily unless otherwise assigned.
Preferred Qualifications:
- Consistent maturity to represent Agency to the community and other professionals.
- Self-motivated and capable of time management.
- A pleasant and professional appearance.
- Knowledgeable about adoption and post adoption issues.
- An effective communicator able to express self clearly.
- Self-assured and skilled enough to make presentations and speak on behalf of the Heart Gallery North Texas.
- Knowledge of social media platforms, scheduling tools and analytics to measure the growth and success of the program.
